Applying on Workday: how your resume is read

On a Workday career site you usually sign in to a Candidate Home account, then attach your resume so Workday can fill the application. Workday's own guide says parsing results vary with the format and order of words, that resumes without images parse best, and that skills and languages are not auto-filled.

How does applying on Workday work?

Every employer runs its own Workday career site, so the wording and the number of pages differ. The usual path: sign in or create a Candidate Home account, start the application from your resume, then complete the sections the employer defined before a final review and submit.

  1. Sign in to Candidate Home

Employers can require a Candidate Home account for every application. Workday describes it as an account on the employer's own career site, so another company's Workday site usually means another sign-up. Workday uses the email of your most recent candidate record as your username: apply with the same email each time.

  2. Start from your resume

Workday can parse an attached resume and populate the application. Its Quick Apply option fills the job application from your resume, CV or previous applications. Where the employer turns it on, Apply with LinkedIn prefills it from your LinkedIn profile instead. Some employers hide resume parsing for jobs that need no resume.

  3. Review what was filled

Workday's guide says parsing populates fields from a resume and lets you review the data. Go through each work entry, school and date before you continue.

  4. Complete the employer's sections

The employer decides which sections every candidate must complete. They can ask about location, availability or the right to work, and those answers come from you, not from your file.

  5. Submit, then keep the account

After you apply, the employer can use Candidate Home to send you questionnaires, ask for more information, schedule interviews, collect electronic signatures or invite you to assessment tests. Keep the login.

Which resume file should you upload to Workday?

Workday's public documentation does not list accepted file types; the upload dialog on each employer's site shows them. What it does say: parsing results can vary with the resume's format and the order of words, and resumes without images or image-based styles give the best results. A text-based PDF or DOCX in one column fits that advice.

Workday does not explain how its parser works inside, and no outside tool can show what a given employer's Workday site will make of your file. You can control the input: real, selectable text, standard section headings, and dates next to each job. The ATS-friendly resume checklist lists the layouts that read in the wrong order.

In Ruubu, 42 of the 55 templates carry the ATS-safe label: one reading order, selectable text and standard headings. Start from one in the ATS resume builder, or switch your current resume to one in a click.

What should you check after Workday fills your application?

Workday lists Languages and Skills among the fields resume parsing does not auto-fill, and it skips fields the employer has hidden. So after parsing, add your skills and languages by hand, then compare each filled field with your resume before you move to the next page.

  • Skills: type or pick them yourself. Use the skill names from the job posting where they are true for you.
  • Languages: add each one with its level; nothing comes over from the file.
  • Work experience: one entry per job, with the right title, employer, and start and end dates. If you held two titles at one employer, check that both show the way you want.
  • Education: school name, degree and dates in the right fields.
  • Contact details: the email on the application becomes your Candidate Home username on that site.
  • Attachments: the file the recruiter opens is the one you uploaded, so upload the final version, not a draft.

Which Workday questions are not about your resume?

Employers add their own questions and sections to a Workday application, and some can decide whether your application moves forward before a person opens your resume. Answer them exactly as they apply to you and in line with your resume.

The questions keep coming after you apply: Workday lets employers send questionnaires and assessment tests through Candidate Home. With Ruubu for Chrome, work authorization, sponsorship and salary questions are filled only from the answers you saved yourself, exactly as saved.

How does Ruubu help with a Workday application?

Ruubu gives you a clean, text-based resume to upload and fills the Workday pages in your browser. Ruubu for Chrome fills each step from the data you confirmed in a preview and never presses Next or Submit: you move through the application and send it yourself.

Before you upload, run the free resume check, then open What a parser reads in the editor's Download menu: it reads your exported PDF and DOCX back and shows the name, contact details, headings and jobs a rule-based parser finds, in order.

Workday applications are long, and each employer has its own account. Save the jobs you apply to in job tracking so you know which login belongs to which company.

Questions about Workday

Do I need a new Workday account for every company?

Usually, yes. A Candidate Home account is set up on one employer's career site, so a different employer's Workday site asks you to sign up again. On the same employer's site, keep one email: Workday uses it as your username.

Why are my skills empty after Workday read my resume?

Workday's documentation lists Skills and Languages among the fields resume parsing does not auto-fill. Add them by hand on the application page, using the skill names from the posting where they are true for you.

Is a PDF or a Word file better for Workday?

Workday does not publish a preferred format. It does say resumes without images or image-based styles parse best. A PDF with selectable text and a DOCX are both text-based; check which types the upload dialog on that employer's site accepts.

Does Ruubu submit Workday applications for me?

No. On Workday, Ruubu for Chrome fills each step from data you confirmed and leaves Next and Submit to you. Nothing is sent in the background.

Can I see what Workday will read from my file?

No outside tool can show a particular employer's Workday parser output. Ruubu shows what a rule-based parser reads from your exported PDF and DOCX, so you know the text, headings and dates are there to be read.
