How does applying on iCIMS work?
iCIMS portals look different from company to company, and iCIMS itself says the steps and options vary. The usual order is: enter your email, create a login or sign in, upload your resume, review the parsed profile, answer the screening and job-specific questions, then submit and wait for the confirmation page.
Enter your email
If you are not logged in, the portal may ask for your email first and then work out whether you are a new or returning applicant. iCIMS does not support email addresses with accented letters, so use one with plain letters only.
Create a login, or use a social account
New applicants create a login and password. Many portals also accept Facebook, Google, LinkedIn or Microsoft sign-in, which brings over limited data such as your first name, last name and email.
Upload your resume first
iCIMS recommends uploading your resume before you complete other fields, because the system may populate some profile fields from it. Upload options can include your computer, Google Drive, Dropbox or OneDrive.
Review the parsed profile
The portal asks you to review the information parsed from your resume or social account. Fields marked with an asterisk are required.
Answer the questions
After the profile come screening questions, EEO information and any job-specific questions the employer added.
Submit, or finish later
Finish Later saves your progress. After you submit, a confirmation page appears, and your Dashboard lists past job submittals you can continue or withdraw.
Which resume file should you upload to iCIMS?
The iCIMS candidate guide does not list accepted file types, so check the upload dialog on the portal you are using. Because the portal may fill your profile from the file, upload a text-based PDF or DOCX in one column with standard headings, and keep your name and contact details in the body of the page.
You can typically begin an iCIMS application without a resume, but the guide warns that an employer may require one before you complete the application. Have the final file ready before you start, so a draft never ends up attached to a real application.
Ruubu's checker flags contact details placed only in page headers or footers, because some systems skip them. Every Ruubu template puts your name and contact details in the page body, and 42 of the 55 templates carry the ATS-safe label for one clean reading order.
What should you check after iCIMS parses your resume?
The guide says the system may populate some profile fields, so treat the parsed profile as a draft. Check your name, address and contact details, each job and school, and every field marked with an asterisk, which iCIMS says are required before you can go on.
- Required fields: anything with an asterisk must be filled; a blank one stops the application.
- Social sign-in data: only limited details such as name and email come over, so your work history still comes from your resume or from typing.
- Work entries: job title, employer and dates for each role, in the right fields.
- Address: iCIMS profiles ask for your address as well as your email, so check it is complete and current.
- Talent pools: some portals let you join an employer's talent pools for future jobs. Choose the areas you actually want.
What screening questions come up on iCIMS?
After the profile, iCIMS applications move on to screening questions, EEO information and job-specific questions. The employer writes these, so they differ from portal to portal; answer them exactly as they apply to you and consistently with your resume, because the answers sit next to it in your application.
EEO questions are about equal employment opportunity reporting and are usually optional. Screening and job-specific questions are the employer's own. With Ruubu for Chrome, visa, sponsorship and salary answers are filled only from what you saved yourself, never guessed.
How does Ruubu help with an iCIMS application?
Ruubu gives you a text-based resume to upload and helps fill the portal. On iCIMS, Ruubu for Chrome uses its general field matcher, labelled Beta: after you check a preview it fills the fields it recognises and attaches your resume PDF, and the rest of the form and the submit button stay with you.
iCIMS portals are customised by each employer, so look the form over closely after filling. Before you upload, run the free resume check and open What a parser reads in the editor's Download menu to see the name, headings and jobs a rule-based parser finds in your exported file.
The ATS-friendly resume checklist explains why one column and standard headings help any portal that fills a profile from your file.

Questions about iCIMS
Can I apply on iCIMS with LinkedIn?
On many portals, yes: the iCIMS guide lists Facebook, Google, LinkedIn and Microsoft sign-in. Only limited data such as name and email transfers, so you still upload a resume or type your work history.
Why was my email not accepted on an iCIMS portal?
iCIMS does not support email addresses with accented characters. Use an address with plain letters only, and keep using it for that employer.
Can I save an iCIMS application and finish later?
Yes. Select Finish Later to leave and come back. Your Dashboard lists past job submittals, and Continue Application appears there where the employer allows it.
Does Ruubu work on every iCIMS portal?
iCIMS portals are customised per employer, so Ruubu for Chrome uses its general field matcher there, labelled Beta. It fills the fields it recognises and leaves the rest to you.
