Applying on Greenhouse: how your resume is read

A Greenhouse application is usually one page under the job post: name, email, phone, a resume upload and the employer's questions. Greenhouse accepts .doc, .docx, .pdf, .rtf and .txt files, and many posts offer Autofill with Greenhouse, which fills the form from a saved MyGreenhouse profile you review before submitting.

How does applying on Greenhouse work?

Most Greenhouse applications fit on one page and need no account. You type or autofill your contact details, attach your resume or paste it as text, add a cover letter if the employer asks for one, answer the employer's questions and submit. The employer decides which fields are required.

  1. Open the job post

Greenhouse job boards carry each employer's openings. The application form sits on the same page as the job description, so read the whole post before you start typing.

  2. Enter your name, email and phone

Greenhouse's Job Board API names first name, last name and email as the required fields; the employer adds anything else. Use the email you check daily, because the employer replies there.

  3. Attach or paste your resume

The Resume question takes a file or plain text: Greenhouse's API documentation describes it as accepting both a file input and a text box. Attach the file; paste the text only if an upload keeps failing.

  4. Answer the employer's questions

Each employer writes its own questions, from work authorization to how you heard about the role. Some are required, and some are yes-or-no.

  5. Submit and keep track

If you applied through MyGreenhouse, the Applications list shows your applications, but each company decides which status updates it shares.

Which resume file types does Greenhouse accept?

Greenhouse lists .doc, .docx, .pdf, .rtf and .txt for resumes and cover letters, with uploads of up to 100 MB. For MyGreenhouse, its candidate FAQ says to upload a PDF for best results, and to re-save the file as a PDF and reduce its size if an upload fails.

One detail from Greenhouse's help center: when Greenhouse converts a resume to PDF for preview, it does not load externally linked images. Images embedded in the file are unaffected. Keep anything a recruiter must read as real text, not as a picture or a linked graphic.

Ruubu exports text-based PDF and DOCX files from every template, so both work on a Greenhouse form. If you want the preview a recruiter opens to look like your design, use the PDF; 42 of Ruubu's 55 templates are labelled ATS-safe, listed on the templates page.

What should you check after Autofill with Greenhouse?

MyGreenhouse fills the application, including the employer's questions, from your saved profile, and you review and edit the answers before submitting. Greenhouse's own FAQ says resume parsing can make mistakes, and only your most recently uploaded resume is used, so check both the fields and the file.

  • The file: MyGreenhouse does not support multiple resumes, and your latest upload is the default. Upload the version you tailored to this job before you autofill.
  • Your email: Greenhouse can't change the email on an application after it is submitted.
  • Name and phone: changes to your profile apply to future applications only, not to ones already sent.
  • The employer's questions: autofilled answers come from your profile; read each one against the question as this employer wrote it.
  • Withdrawing later: moving an application to Inactive in MyGreenhouse does not withdraw it. To withdraw, contact the company.

What questions do Greenhouse employers ask?

Each employer writes its own questions, and the Job Board API exposes them as text boxes, file uploads and single or multiple choice. On a public Greenhouse job post we read through that API in November 2026, the required questions included visa sponsorship and any employment agreements with a current or past employer.

Treat the questions as part of the application, not an afterthought: they are answered by you, not read from your resume. Greenhouse also says the employer you apply to controls the application data you send; to correct or delete it, contact that company.

How does Ruubu help with a Greenhouse application?

On Greenhouse forms, Ruubu for Chrome fills your details, work history and education, attaches your resume PDF after you check a preview, and offers Confirm and submit once every required field is filled and no CAPTCHA is on the page. Your click presses the form's own submit button once.

Because MyGreenhouse keeps only your latest upload, tailor first: the Job Link Optimizer reads the posting and scores your resume against it, and the tailored copy exports as its own PDF.

To see your file the way a rule-based parser reads it, open What a parser reads in the editor's Download menu: name, email, phone, section headings and every job with its dates, read back from the exported PDF and DOCX.

What Ruubu for Chrome does on Greenhouse

  • Autofill on application forms

Ruubu for Chrome fills your details, work history and education and attaches your resume PDF, after you check a preview. Beta means the form is filled by the general field matcher, so look it over more closely.

  • Confirm and submit

On one-page forms, the button turns on only when every required field is filled and no CAPTCHA is on the page. Your click presses the form's own submit button once.

Questions about Greenhouse

Do I need an account to apply on Greenhouse?

Usually not: most Greenhouse job posts take the application on the page. A MyGreenhouse account is optional. It stores your resume and details for Autofill with Greenhouse, and you sign in with a code sent to your email instead of a password.

Should I upload a PDF or a DOCX to Greenhouse?

Both are accepted. The MyGreenhouse FAQ recommends a PDF for best results. Make sure the PDF has selectable text: a scan or an image-only PDF gives the form nothing to read.

Can I edit a Greenhouse application after submitting it?

Not through Greenhouse. Its FAQ says the email can't be changed after submitting and that profile updates reach only future applications. Contact the employer, or apply again with the right email if the post is still open.

Is Ruubu connected to Greenhouse?

No. Ruubu is independent and works inside the page you have open in Chrome. It does not log in to Greenhouse and never sees a password.
