Common mistakes on an administrative assistant resume

  • Opening with 'responsible for' lists of generic tasks

Fix: Answering phones and filing appear on every assistant resume. Lead with the scale instead: how many executives, how many calendar changes per week, what travel budget, how many events you organized.

  • Underselling software skills

Fix: Name tools with the feature level, such as 'Outlook delegate access, Concur expense reports, Zoom webinar setup, Smartsheet.' ATS software filters on those exact names, and hiring managers use them to guess how fast you will ramp.

  • Skipping the judgment calls

Fix: Assistants are hired for discretion. Show a decision you owned, such as managing confidential board materials, triaging an executive inbox or rebuilding a travel policy, and describe what it saved.

  • Using a heavy design for a role judged on polish

Fix: Your resume is the first sample of your work. Use a clean one-column layout, consistent dates and zero typos. A crowded two-column design with icons suggests the opposite of attention to detail.

Start bullets with verbs like Coordinated, Managed and Streamlined, and give each one a number where you honestly have one. How to stand out as an administrative assistant applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Mirror the office you would join

Assistant postings at a law firm, a school and a construction company list different software and duties. Use the posting's exact tool names where they are true for you, put your most similar workplace first and add a line about any industry vocabulary you already know, such as billing codes or permits. Pull the skills each posting asks for

  • Size up your workload in the opening line

Your first sentence can tell the reader how many people, phone lines or calendars you kept running, followed by a quick example of a problem you headed off. Then say why this particular office appeals to you. Three short paragraphs are enough, and format, spelling and tone count as much as content. Write a short admin cover letter

  • Be ready for a skills check

Common questions cover juggling requests from several people, a difficult caller and a time you caught a mistake. Some offices also give a typing test, a short Excel task or a writing sample such as a meeting reminder email. Practice your answers aloud and bring a clean printed copy of your resume. Administrative Assistant resume questions

How long should an administrative assistant resume be?

One page is standard. Lead with the scale you handled, such as executives supported, calendars managed and budgets processed, and cut generic duties anyone could claim.

What metrics belong on an administrative assistant resume?

Executives supported, calendar volume, travel itineraries booked, expense dollars processed, hours saved through better systems and meeting accuracy. Tie each duty to a number.

Which keywords and tools should I include?

Name the software you actually use daily, such as Microsoft Office, Outlook, Concur and Google Workspace, plus skills like calendar management and travel coordination that show up in job descriptions.

Is a certification worth it for an administrative assistant?

It can help, especially with limited experience. The Microsoft Office Specialist exam proves tool depth, and the IAAP Certified Administrative Professional signals long-term commitment. Experience and references still outweigh both.

How do I show soft skills like discretion on a resume?

Do not write 'discreet' as an adjective. Cite what you handled: confidential HR files, board materials, executive travel, or sensitive vendor negotiations. The responsibility speaks for itself.
