Office Manager resume objective examples

An objective fits when you have no direct experience in the role yet. Name the role, the proof you already have and what you will bring to the team.

  • Restaurant manager

Restaurant general manager with six years running staff schedules, vendor orders, payroll inputs and a $1.1M food and labor budget. Moving to an office manager role in a professional services firm where those same controls apply without the late nights.

  • Medical receptionist

Medical receptionist with three years at a busy pediatric practice, trained in insurance verification and athenahealth scheduling. Ready to move into a practice office manager role, supervising front desk staff and owning supply and vendor orders for one location.

Common mistakes on an office manager resume

  • Listing every task you touch

Fix: Office managers do dozens of things, and a list of thirty duties reads as clutter. Group your work into four areas, such as facilities, vendors, people and money, and give one result in each. The reader sees your scope and your changes in six lines.

  • Leaving out the size of the office

Fix: Running an office for 15 people and running one for 150 are different jobs. Put headcount, the number of sites or floors and the annual budget you managed at the top of each role. If you supervised receptionists or coordinators, say how many and what you trained them to do.

  • Hiding vendor and contract savings

Fix: Copier leases, cleaning, coffee service, phone plans and supply orders are where an office manager saves real money. Name the contract, what you changed and the yearly saving, for example switching to a managed print plan or rebidding janitorial service.

  • Not saying which systems you run

Fix: Writing "proficient in Microsoft Office" undersells you. Say whether you are the admin for Microsoft 365 or Google Workspace, the phone system, door badges or the payroll platform, and whether you manage an outside IT provider. Owners want to know who will hold the keys to those accounts.

What should an office manager resume include?

An office manager resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as Facilities Management, Lease Administration and Office Relocation. Start bullets with verbs like Renegotiated, Coordinated and Onboarded, and give each one a number where you honestly have one. If you hold a credential such as Certified Administrative Professional (CAP), IAAP, list it in its own section.

How to stand out as an office manager applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Write for the type of office in the posting

A dental practice wants patient flow and insurance knowledge. A law firm wants records and conflicts. A tech startup wants someone who sets up systems from scratch. Read the posting for which of these it is, expand your matching job's bullets and use the software names the employer lists. Adapt your resume to this office

  • Open the letter with a problem you took off someone's plate

Start with one specific fix, such as running an office move or replacing a costly vendor, and the effect it had on the owners. Then connect it to something you noticed about this employer, such as a new location, growing headcount or a practice adding providers. Start your office manager cover letter

  • Prepare for scenario questions

Interviewers often ask what you would do if the internet goes down before a client meeting, two employees argue over space, or the owner asks you to trim the budget by a set amount. Prepare three short stories about a vendor, a person and a budget problem, each with what changed afterward. Practice office manager interview questions

  • Make your systems list specific

Office managers often run six or more platforms without listing them. Pull the names from your daily work: payroll, bookkeeping, phones, scheduling, door access, file storage, and note where you hold admin rights. Then compare the list with the posting and add any tool you use every day but left off. Find the systems your resume is missing

Office Manager resume questions

How is an office manager resume different from an administrative assistant resume?

An assistant supports people; an office manager owns how the office runs. Your bullets should show decisions and ownership: the budget you set, vendors you chose, the move you planned, the staff you supervised and the policies you wrote. Keep reception or calendar duties to one line.

How do I show HR work if I am not in HR?

Name the tasks and who made the final call. Many office managers collect I-9 forms, set up new hires in a payroll service such as Gusto or ADP, track PTO, run benefits enrollment paperwork and update the handbook. Write "processed biweekly payroll for 38 employees" rather than "handled HR."

Should I change my resume for a medical or dental office?

Yes. Practices want patient scheduling, insurance verification, front desk supervision, HIPAA awareness and the practice management software you used, such as Dentrix, Eaglesoft or athenahealth. Give daily patient volume and any change you made to collections or no-shows. The Certified Medical Manager credential is optional but helps.

I ran the office at a 12-person company. Is that enough?

Yes, if you show scope. Small offices often give one person the lease, IT vendor, bookkeeping, payroll and purchasing. Put the headcount, square footage and annual spend you managed in your job summary line, and list each system you administered. A larger firm will read that range as readiness, whatever your title was.
