Applications and interviews

How do I keep track of the jobs I applied to on LinkedIn?

LinkedIn keeps a list of the jobs you applied to under My Jobs, in the Applied tab. It does not hold applications you sent elsewhere, your notes, the resume version you used or interview dates. Copy each application into one tracker, a spreadsheet or a tracking app, with the date, the resume you sent and the next step.

What does LinkedIn's own Applied list show, and what does it miss?

Open My Jobs and choose Applied to see jobs you applied to through LinkedIn, with the company and roughly when you applied. It is a record of clicks on LinkedIn, not of your whole search. Applications on company sites, referrals, the resume you sent and every follow-up live somewhere else, or nowhere.

It also changes over time: postings close, and older entries become harder to find. If you apply to more than a handful of jobs a week, one place for everything saves you from applying twice or missing a recruiter's reply.

What should you record for each job application?

Record what you will need when the phone rings two weeks later: the job title, company, link to the posting, the date you applied, the resume and cover letter version you sent, where you applied, the contact person if any, the current status and the next step with a date. Save the posting text too.

Fields worth tracking for each application
FieldWhy it matters
Posting link and saved textPostings come down; you need the requirements for the interview
Date appliedTells you when a follow-up is due
Resume and cover letter versionYou know which bullets the recruiter has read
Channel (LinkedIn Easy Apply, company site, referral)Shows which channels actually lead to replies
StatusSaved, Applied, Screening, Interview, Offer, Rejected, No response
Next step and dateThe one thing to do next, so nothing goes quiet by accident

Save the posting text the day you apply. A screenshot or a pasted copy is enough; the original link often stops working once the job is filled, and the requirements are exactly what you need before an interview.

Is a spreadsheet good enough to track applications?

For a few applications, yes. A spreadsheet with the fields above works and costs nothing. It starts to slip when you apply often: every row is typed by hand, statuses go stale, and nothing reminds you to follow up. A tracker that imports applications and updates statuses saves that typing, if it is accurate.

Whatever you use, update it the moment you apply, not at the end of the week. The case for tracking every application and the guide to organizing a job search go further.

How do you import your LinkedIn applications into Ruubu?

Install Ruubu for Chrome, open LinkedIn's My Jobs page, and open the Ruubu panel there. It reads the jobs listed on that page (title, company, location, date and link), shows them in a preview, and adds the ones you pick to your tracker. It moves to the next page of the list only when you click.

  1. Install Ruubu for Chrome

From the Chrome extension page, then sign in to your Ruubu account.

  2. Open My Jobs on LinkedIn

Go to the Applied list, in your own browser, signed in to your own account.

  3. Open the Ruubu panel

Click the Ruubu button on the page or the toolbar icon.

  4. Review the preview

Untick anything you do not want in your tracker.

  5. Import and continue

Add the selection, then click to load the next page of the list if you have more.

Ruubu reads only the page you have open, when you use it. Its servers never fetch LinkedIn pages for the extension, and Ruubu is not affiliated with LinkedIn.

What does Ruubu's tracker update on its own?

After the import, the tracker keeps moving cards from what it can see. When you submit an application and the site shows its confirmation, the card moves to Applied with an Undo. Interview statuses on LinkedIn, Workday, MyGreenhouse, SmartRecruiters or iCIMS move the card on. A rejection is only suggested, never applied without your click.

  • Closed postings are flagged. Applications with no news get a Quiet badge after 21 days and move to No response after 45 days, with Undo.
  • Tracking is unlimited on every plan, free included, with the same automatic updates.
  • Automatic tracking can be switched off in Settings.

Frequently asked questions

Where do I find the jobs I applied to on LinkedIn?

Open My Jobs from the Jobs tab or your profile menu, then choose Applied. The exact menu position changes from time to time in LinkedIn's interface.

Does LinkedIn show applications I sent on a company website?

Only if you marked them as applied on LinkedIn. Applications sent directly through a company's own portal are not tracked by LinkedIn.

When should I follow up on a LinkedIn application?

About a week or two after applying, unless the posting gives a timeline. A short message to the recruiter or hiring manager is enough.

Should I also track jobs I saved but have not applied to?

Yes, as Saved. It keeps the posting text in one place and shows you, at the end of a week, how many saved jobs you never got round to.

Is it safe to let a browser extension read LinkedIn?

Check what it reads and when. Look for an extension that works only on pages you open, only when you use it, and that does not send your browsing history anywhere.
