Substitute Teacher resume example

When a district or staffing office reviews a substitute, the questions are simple: do you hold the state permit, will you show up, and can you keep a room you have never met on task? Answer with your authorization, the number of assignments and schools you covered, the grade bands and subjects, how often teachers requested you back, and any long-term placement where you planned and graded.

Common mistakes on a substitute teacher resume

  • Writing one vague line for years of subbing

Fix: "Substitute teacher, various schools" hides the best evidence you have: volume and reliability. Count your assignments, schools and grade bands, and note how many were requested by name. If your absence system shows a fill history, use it to get exact numbers before you write the bullet.

  • Leaving off the permit and its expiration

Fix: Districts cannot place you without a valid authorization, so make it easy to check. List the exact name from your state, the issuing agency and the expiration year in your certifications section. If you also hold first aid or CPR, add it there, because some placements, such as early childhood or special education rooms, ask for it.

  • Treating long-term placements like day jobs

Fix: A twelve-week placement in a fifth-grade classroom where you planned, graded and held conferences deserves full classroom bullets. Show what you taught, how you assessed and what changed. Principals reading for a full-time hire will weigh that placement more than any number of single days.

  • Ignoring the notes you leave for the teacher

Fix: Teachers request substitutes who leave a clear record: what was covered, who was absent, which students needed help, any incident. Mention your end-of-day notes and how you followed seating charts, IEP accommodations and safety procedures. It explains your request rate and shows a principal you protect the regular teacher's plan.

What should a substitute teacher resume include?

A substitute teacher resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as Day-to-day substitute, Long-term substitute and Building substitute. Start bullets with verbs like Covered, Accepted and Stepped in, and give each one a number where you honestly have one. If you hold a credential such as State substitute teaching permit, license or authorization (requirements vary by state), list it in its own section.

How to stand out as a substitute teacher applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Lead with what each posting asks for

A posting for a long-term middle school science sub needs a different top line than an elementary building sub opening. Put the matching assignment type, grade band and subject first, move the closest placement to the top and cut extra detail on unrelated days. Keep one short version for staffing agencies and a fuller one for district roles. Tailor your resume to a substitute posting

  • Use the cover letter to show you are reliable

For substitute roles, reliability is the selling point. In the letter, give your assignment count, your show rate and the grade bands you cover. Mention how quickly you can accept a same-day call, how far you will travel and which schools already know you. If you want a long-term placement, say so and name the subject. Write a substitute teacher cover letter

  • Prepare for questions about the hard days

Interviews for substitute and building sub roles focus on situations: no lesson plans, a class that tests you, a student who leaves the room, a fire alarm during lunch. Prepare a short answer for each with the steps you take and who you tell. Bring a sample of the notes you leave for teachers if you have one. Practice substitute teacher interview questions

  • Write a summary that reads as dependable

A substitute summary should fit in three lines and answer three questions: authorized where, available when and proven how. Include your permit, the grade bands you cover, your assignment count or request rate and your availability, such as full days with same-day calls. A summary generator can give you a first draft to edit with your real numbers. Draft a substitute teacher summary

Substitute Teacher resume questions

What do I need to become a substitute teacher?

It varies a lot by state and sometimes by district. Some states issue a substitute permit with a high school diploma and training, others want a set number of college credits or a bachelor's degree, and a teaching license covers subbing almost everywhere. Nearly all districts run a fingerprint background check. Look up your state education department's substitute page and list the exact permit name and expiration.

How do I list hundreds of one-day assignments?

Group them in one entry, not one line per day. Title it "Day-to-Day Substitute Teacher" under the district or staffing agency, with the date range. Then give totals in the bullets: assignments completed, number of schools, grade bands and subjects, and how often you were requested by name. A count such as "148 assignments across 11 schools" reads as steady and reliable.

Should a long-term substitute job be its own entry?

Yes. A long-term placement where you planned lessons, graded, entered grades and met with families is close to a full teaching role, and principals hiring full-time staff look for it. Give it its own entry with the grade, subject, school and length in weeks, then write bullets about the planning and results, the same way a classroom teacher would.

Do I list the district or the staffing agency as my employer?

List whoever employed and paid you, which is often a staffing agency that contracts with districts. Put the agency as the employer and name the districts or school types you covered in the bullets, for example "placed in 2 districts, 14 elementary and middle schools." If you worked for a district directly, list the district. Either way, be accurate, since references will be checked.

Can substitute teaching help me become a full-time teacher?

It often helps. You learn several schools, principals see your work and teachers can vouch for you. Show that path on your resume: a long-term placement, requests from specific teachers, and any licensure program you have started, such as an alternative certification route in your state. Ask a principal from a school where you subbed often to serve as a reference.
