IT Manager resume example

An IT manager resume is read by executives who care about cost, risk and uptime, not command syntax. Lead with scope: users and sites supported, team size, the budget you owned and the vendors you managed. Then prove judgment with outcomes such as a passed audit, a recovered outage, a contract renegotiated or a migration finished on schedule.

Common mistakes on an IT manager resume

  • Writing a system administrator resume with a manager title

Fix: If every bullet is about patching servers or configuring switches, readers will doubt the title. Rewrite the top half around leadership: team size, hiring, budget, roadmap, vendor choices and the business result of each project. Keep the hands-on depth in one compact skills line and a bullet or two, not the whole page.

  • Leaving out the business result

Fix: "Migrated email to Microsoft 365" is a task. Add what changed for the company: downtime avoided, licensing costs reduced, remote staff supported, or audit findings closed. Executives read for the effect on operations and money. Tie each major project to one measurable outcome and the date it finished.

  • No mention of security and compliance

Fix: An IT manager is often the person accountable for security, backups and audits. Show the controls you put in place, such as MFA, endpoint protection, phishing training and tested restores. Name the frameworks or rules you worked under, like HIPAA, PCI DSS, SOC 2 or a cyber insurance questionnaire, only if they applied to your employer.

  • Hiding staff development

Fix: Hiring and growing people is half the job and it often goes missing. Write how many people you hired, promoted or trained, how you cut turnover or on-call burnout, and what you changed in the team's structure. A line such as "promoted 2 help desk analysts into sysadmin roles" shows the kind of leader you are.

What should an IT manager resume include?

An IT manager resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as IT Strategy & Roadmap, Capital Planning and Annual IT Budget. Start bullets with verbs like Directed, Negotiated and Budgeted, and give each one a number where you honestly have one. If you hold a credential such as ITIL 4 Foundation, list it in its own section.

  • Hired and onboarded 6 technicians in a year and cut help desk staff turnover from 40% to 12%.
  • Moved on-premises Exchange and file servers to Microsoft 365, retiring 11 servers with no lost mail during cutover.

How to stand out as an IT manager applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Tailor to the size and model of the IT shop

An IT manager posting at a 150-person firm and one at a 3,000-person hospital want different people. Read whether they expect a hands-on manager, a manager of managers, or someone who runs MSPs. Mirror that model in your summary, put the matching scope numbers first, and lead with projects that fit their industry and compliance rules. Tailor your IT manager resume

  • Write the cover letter for the executive who hires you

IT managers often report to a CFO, COO or owner, so write in business terms. Open with the problem you solved most recently, such as a failed audit, slow systems or rising costs, and the result. Add one sentence on how you lead a team. Leave the technical stack to the resume. Write an IT manager cover letter

  • Prepare stories on outages, budgets and people

Interviewers usually probe three areas: how you handled a major outage or security incident, how you set and defended a budget, and how you dealt with a struggling employee. Prepare a short story for each with what happened, what you decided and the result. Be ready to explain how you report IT risk to leadership. Practice IT manager interview questions

  • Check your summary before anything else

Readers at this level often decide from the top third of the page. Your summary should state users, sites, team size, budget and one standout result in a few lines. Write two or three versions, one for in-house teams and one for MSP oversight, and keep the one that matches each posting best. Draft IT manager summaries

IT Manager resume questions

How technical should an IT manager resume be?

Technical enough to show you can judge your team's work, but weighted toward decisions. A good mix is one skills line with the platforms you run, such as Microsoft 365, VMware and Fortinet, and bullets about what you decided and why. If you still do hands-on work at a smaller company, say so in the summary, since smaller employers often want a working manager.

How do I move from system administrator to IT manager on paper?

Show the management work you already do. Did you lead a project, pick a vendor, write a budget request, mentor juniors or run the on-call rotation? Give those their own bullets with numbers. A title such as "Senior Systems Administrator (team lead, 3 direct reports)" is honest and tells the reader you have supervised people even without the manager title.

Should I include budget figures on my resume?

Yes, when you owned or shaped the budget. Write the annual figure and what it covered, for example "Managed a $1.8M IT operating and capital budget for 4 sites." If you only influenced spending, use a narrower claim like "cut software license spend 22% by removing 140 unused seats." Never inflate a number you cannot explain in an interview.

Which certifications help an IT manager most?

No single credential is required. ITIL 4 Foundation shows you know service management language, and the ITIL 4 Strategic Leader designation goes further into strategy. PMP from the Project Management Institute fits managers who run large projects. CISM from ISACA suits roles that own the security program. List only what you hold, and add the year.

How do I show I manage an MSP rather than an in-house team?

Name the model clearly. Write that you oversee a managed service provider for help desk or network monitoring, then show how you managed it: the SLA terms you set, the monthly reviews you ran, the escalations you handled and any savings or service gains after you renegotiated. Running vendors well is a real management skill, so treat it as one.
