Data Entry Clerk resume example

For a data entry clerk, speed and accuracy are the job, so put both on the page as numbers: words per minute, 10-key speed in KPH and your error rate after verification. Name the systems you keyed into, the documents you worked from (invoices, claims, orders, medical forms) and the volume per day. Supervisors also look for confidentiality habits.

Common mistakes on a data entry clerk resume

  • Typos and inconsistent formatting on the resume

Fix: A data entry resume is a test of the skill you are selling. Check every date format, phone number, capital letter and bullet ending. Use the same date style throughout, such as 2024-03 or March 2024, and keep spacing even. One misspelled software name tells a supervisor what your batches might look like.

  • No speed, accuracy or volume numbers

Fix: "Entered data into the system" could mean ten records or ten thousand. Give the daily or weekly volume, the document type, your typing or 10-key speed, and how your work held up in quality checks. A single line like "keyed 450 invoices a day at 99.6% accuracy" does most of the work.

  • Forgetting the systems you know

Fix: Employers want to know you can learn their software, and the closest proof is software you already use. Name it: Excel, an ERP such as SAP or NetSuite, an EHR, a claims system or a warehouse system. If the system was in-house, describe it, for example "custom order entry database."

  • Leaving out privacy and data handling

Fix: Data entry often touches personal, financial or health records. Mention HIPAA or privacy training you completed, clean desk rules you followed, and how you handled originals after scanning. Supervisors hiring for medical billing, insurance or payroll offices often check for this as closely as speed.

What should a data entry clerk resume include?

A data entry clerk resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as Words Per Minute (WPM), 10-Key by Touch and KPH (10-Key Speed). Start bullets with verbs like Entered, Verified and Indexed, and give each one a number where you honestly have one. If you hold a credential such as Microsoft Office Specialist: Excel Associate (Microsoft 365 Apps), list it in its own section.

How to stand out as a data entry clerk applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Match the documents and systems in the posting

Data entry jobs vary by what you key and where. A medical office wants EHR experience and HIPAA, a distributor wants invoices and an ERP, a research firm wants fast 10-key. Put the posting's document types and software in your summary and first bullets, and move unrelated work lower or cut it. Tailor your data entry resume

  • Keep the cover letter short and exact

Write three short paragraphs. Lead with your tested typing and 10-key speeds and your accuracy, then name the documents and systems you have worked with. Mention your availability and whether you can work on site or remotely. Proofread it twice, since the letter shows your accuracy before any test does. Draft a data entry cover letter

  • Practice for the typing and skills test

Expect a timed typing test, a 10-key test or a short Excel task during hiring. Practice daily for a week before you apply, on numbers as well as text. In the interview, be ready to explain how you check your own work, what you do when a source document is unclear and how you stay focused through repetitive batches. Prepare for data entry interviews

  • Run a final accuracy check on your resume

Before you send it, have a checker scan your resume for formatting issues, inconsistent dates and missing sections, then read it once more line by line yourself. For a data entry job, a clean, consistent page is part of the proof. Fix every flag you agree with. Check your data entry resume

Data Entry Clerk resume questions

Should I put my typing speed on a data entry resume?

Yes, if it is a tested number. Write the speed and accuracy together, such as "65 WPM at 98% accuracy," and add your 10-key speed as KPH if the job involves numbers. Use a timed test from a reputable typing site or one an employer or staffing agency gave you, and expect to be tested again during hiring.

How do I show accuracy if no one measured my errors?

Look for indirect proof. Did a supervisor audit a sample of your work? Did your batches pass verification without being sent back? Did billing or shipping complaints drop after you took over? You can write "Batches passed the weekly QA sample with no rework for 11 months." That is concrete without inventing a percentage you never saw.

Can remote data entry work go on my resume?

Yes, if it was real paid work you can describe. List the client or platform, dates, the type of data and the volume. Be careful with listings that ask you to pay for training or equipment, or that want your bank details before an interview, since those are common signs of job scams. Report only legitimate work you can verify.

What if data entry was only part of my last job?

Pull it forward. A receptionist who logged patient intake forms, a warehouse worker who keyed receiving counts, or a cashier who reconciled tills all did data work. Put those tasks first in each job's bullets with volume and accuracy, and keep the rest of the role short. Your headline can say "Data Entry Clerk" if that is the job you want.
