Customer Service Manager resume example

A customer service manager is judged on the team, not on personal tickets. Lead with the size and channels you ran (say, 12 agents across phone, chat and email), the metrics you moved, such as CSAT, first-contact resolution or backlog, and how you got there: staffing changes, QA programs, coaching or tooling. Directors also look for attrition you lowered, budgets you held and product fixes your feedback triggered.

Customer Service Manager resume summary examples

Pick the one closest to your level and replace the specifics with your own.

  • Entry level

Customer service team lead moving into a first manager role after three years leading a nine-person phone and email queue for an online retailer. Built the weekly schedule, ran QA reviews and sat on hiring panels while covering for the manager. Raised first-contact resolution from 68% to 79% and promoted two agents into lead roles.

  • Mid level

Customer service manager with six years in subscription and e-commerce support, now running 24 agents across phone, chat and email for 40,000 monthly contacts. Cut average email response time from 19 hours to 4 while holding CSAT above 90%. Owns Zendesk configuration, the QA scorecard and weekly staffing forecasts, and reports contact trends to product every sprint.

  • Senior

Senior customer service manager with eleven years in home services and broadband support, leading three team leads, 55 in-house agents and a 30-seat outsourced partner. Brought annual agent attrition down from 48% to 27%, launched round-the-clock chat coverage and cut cost per contact 18% through self-service and routing changes. Partners with finance on the support budget and headcount plan.

Common mistakes on a customer service manager resume

  • Writing about your own calls instead of the team

Fix: Manager bullets should show what the team achieved because of something you changed. Replace "handled escalations" with "cut escalations to tier 2 by 30% by building a refund decision tree agents could follow." Keep personal ticket work to one line at most, and only if the posting asks for a working manager.

  • Leaving out headcount, channels and volume

Fix: Six reps on one phone queue is a different job from 40 agents across chat, email, social and an outsourced partner. Put the scope at the top of each role: direct reports, contacts a month, channels and hours of coverage. Without it, a director cannot tell whether your results would hold at their size.

  • Reporting metrics without a baseline

Fix: "CSAT 92%" means little alone. Show where the metric started, where it ended and how long it took: "Raised CSAT from 84% to 92% in three quarters." Then add the cause in a few words, such as a new QA rubric or weekend staffing. A before-and-after with a reason is what makes a result believable.

  • Ignoring retention and people outcomes

Fix: Agent attrition, promotions from your team, engagement survey scores and training programs show whether people stay and grow under you. If you cut turnover, built a career ladder or promoted agents into lead and QA roles, give each its own bullet with numbers. Leadership roles are filled on this evidence as much as on CSAT.

What should a customer service manager resume include?

A customer service manager resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as Direct Reports, Coaching Plans and Performance Reviews. Start bullets with verbs like Led, Coached and Restructured, and give each one a number where you honestly have one. If you hold a credential such as CCXP (Certified Customer Experience Professional), CXPA, list it in its own section.

Customer Service Manager resume bullet examples

How to stand out as a customer service manager applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Match the scale in the posting

Read the posting for team size, channels and industry. If they want someone to run 40 agents and you led 15, lead with the growth you handled and any outsourced or multi-site teams you oversaw. Use their metric names, whether CSAT, NPS or service level, and move the bullets that match their biggest problem to the top of each role. Fit your resume to a manager posting

  • Open the cover letter with a before-and-after

Start with one turnaround from your last team: where a metric was, what you changed and where it ended up. Then connect it to a problem the company likely has, such as a growing backlog, a new chat channel or high agent turnover. Name the team size you led and keep the letter to one page. Draft a manager cover letter

  • Bring a 90-day plan and a coaching story

Expect questions on handling an underperformer, forecasting for a launch and choosing between speed and quality. Prepare one coaching story with a measurable result and a short 90-day plan: listen to calls, review the QA rubric, check staffing against volume, then pick two quick wins. Ask which metrics the team is judged on and who sets the targets. Prepare for a manager interview

  • Write a summary a director could repeat

Your summary should read like a manager's, not an agent's. State team size, channels and monthly contact volume, then the two metrics you moved most and one people result, such as lower attrition or promotions from your team. Draft two or three versions and keep the one a hiring director could repeat to a colleague in a single sentence. Write a leadership summary

Customer Service Manager resume questions

How do I move from team lead to customer service manager on my resume?

Show the manager-level work you already do. Hiring interviews, building the schedule, owning a metric in weekly reviews, writing policy, choosing tools or covering for your manager during leave all count. If you were acting manager, put it in the title line: "Team Lead (Acting Manager, 5 months)." Then lead each role with team results, not your own call or ticket numbers.

What size team should I mention?

Always state it, and separate the layers: direct reports, total agents including those under your leads, and any outsourced seats you oversaw. Add channels, monthly contact volume and coverage hours. "3 team leads, 31 agents, 20 BPO seats, phone and chat, 45,000 contacts a month, 7 a.m. to 11 p.m." gives a director your scale in one line.

How do I show results when CSAT was already high?

Holding a strong score while something else changed is a result. Show CSAT staying above target while volume grew 40%, while you launched a new channel or while cost per contact fell. You can also point to response times, backlog, agent attrition or self-service deflection. The reader wants to see what you improved, not only what you inherited.

Should a customer service manager list software?

Yes, and say at what level. Being a Zendesk or Salesforce Service Cloud administrator who builds triggers, routing and macros is different from being a user. List your help desk, workforce management, QA and reporting tools, such as Looker, Tableau or Excel. Add one bullet where a tool change produced a measurable result.

How do I show work with an outsourcing vendor?

Treat it as its own responsibility. State the number of seats, the channels they covered and the SLAs in the contract. Then give results: QA calibration you ran with the vendor, scorecards you introduced, gaps you closed between vendor and in-house quality, or invoice errors you caught. Vendor management is a common requirement for larger support teams.
