Accounts Payable Specialist resume example

AP leads look at volume, accuracy and controls before anything else. Give invoices handled per month, the share cleared on a three-way match, your duplicate and exception rates and the vendor count you own. Name the ERP and the automation tool, such as SAP, NetSuite, Coupa or BILL, and show how you stop fraudulent bank change requests before money leaves.

Accounts Payable Specialist resume summary examples

Pick the one closest to your level and replace the specifics with your own.

  • Entry level

AP clerk with eighteen months at a commercial furniture dealer, entering and coding 900 PO and non-PO invoices a month in NetSuite. Matches invoices to receipts, chases missing approvals and answers vendor calls about status. Comfortable with Excel lookups and pivot tables, and taking accounting courses at night to move toward month-end work.

  • Mid level

Accounts payable specialist with five years in multi-entity AP for construction supply and hospitality companies. Processes 3,400 invoices a month in SAP and Coupa with a 0.3% exception rate, owns weekly ACH and check runs, and runs vendor bank change verification. Cleaned 1,100 inactive vendors from the master file and filed 260 Forms 1099 each January.

  • Senior

AP lead and APM-certified specialist with ten years in AP and shared services. Leads a team of six covering 11 entities and 9,000 invoices a month, owns month-end accruals and the AP subledger reconciliation, and brought touchless processing from 22% to 61% after an AP automation rollout. Works with treasury on disbursement timing and with internal audit on controls.

Common mistakes on an accounts payable specialist resume

  • Counting invoices without showing accuracy

Fix: High volume alone can read as speed at the cost of errors. Pair the count with a quality measure: exception rate, duplicates caught, invoices sent back for coding fixes or audit sample errors. "Processed 3,200 invoices a month at a 0.4% exception rate" tells a controller you are both fast and careful.

  • Ignoring timing and discounts

Fix: AP affects cash. Show that you understand terms by mentioning early settlement discounts captured, late fees avoided, the disbursement calendar you ran, or work with treasury on days payable outstanding. Even one bullet on moving vendors to ACH or virtual cards shows you think beyond keying invoices.

  • Treating vendor setup as clerical

Fix: The vendor master is where many frauds and duplicate records start. Describe your role in it: W-9 collection, TIN matching, bank verification by callback, cleanup of duplicate or inactive vendors, and who approves changes. A cleanup project with a number, such as 1,100 inactive vendors closed, is a strong bullet.

  • Leaving close work off the page

Fix: Many AP specialists book accruals for goods received but not invoiced, run cutoff at month end, reconcile the AP subledger and review the aging with the controller. If you do, say so with the day of close it happens and how long it takes. It is the bridge to a staff accountant role.

What should an accounts payable specialist resume include?

An accounts payable specialist resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as Three-Way Match, Two-Way Match and PO and Non-PO Invoices. Start bullets with verbs like Matched, Coded and Disbursed, and give each one a number where you honestly have one. If you hold a credential such as Accounts Payable Specialist (APS), Institute of Finance & Management, list it in its own section.

How to stand out as an accounts payable specialist applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Use the posting's system and volume

AP postings usually name an ERP, an automation tool and a rough invoice volume. Put the matching system in your skills block and lead with the role where your volume was closest. If the company uses a tool you have not touched, name the one you know and the workflow you ran in it, since matching logic carries over. Tailor your AP resume to the posting

  • Lead the cover letter with one control

Controllers hiring for AP worry most about errors and fraud. Open your cover letter with one check you run and what it caught, then mention your volume and system. Close with your availability for month-end. Three short paragraphs are enough for this role; long letters suggest you might write long vendor emails too. Draft an AP cover letter

  • Rehearse the exception questions

Interviewers often hand you a scenario: an invoice does not match the PO, a vendor says an invoice was never paid, or an email asks to change bank details today. Practice your steps out loud, including who you contact and what you document. Be ready to explain a three-way match in one sentence. Practice AP interview questions

  • Turn daily tasks into measured bullets

AP work repeats, so resumes often list tasks in the same flat words. Take your three most common tasks and add a number, a system and an outcome to each, such as exceptions cleared, vendors moved to ACH or days saved at close. A bullet point generator can give you a first draft to edit. Write stronger AP bullets

Accounts Payable Specialist resume questions

Can AP experience get me a staff accountant job?

Often, if your resume shows the accounting side of AP and not only data entry. Pull forward month-end accruals, cutoff work, AP subledger to general ledger reconciliation, journal entries you booked and any audit requests you answered. Some employers require an accounting degree for staff roles and some do not, so read each posting and mention coursework if you are working toward one.

Which AP certification is worth listing?

None is required for most AP jobs, but the Institute of Finance & Management offers two that are recognized in the field: the Accounts Payable Specialist (APS) and the more advanced Accounts Payable Manager (APM). A Microsoft Office Specialist credential in Excel also helps when the posting stresses spreadsheets. List what you hold, with the year, below your experience.

How do I show fraud prevention on an AP resume?

Write about the checks you run and what they caught. Examples: calling vendors back at a number already on file before any bank detail change, positive pay exception review, duplicate invoice reports before each run, and keeping vendor setup separate from releasing disbursements. A count of stopped attempts, such as "blocked 4 spoofed bank change emails in a year," is strong evidence.

How do I describe AP work in a shared services center?

Shared services hiring managers think in queues and service levels. Give your invoices per day or month, the cycle time from receipt to approval, your accuracy or rework rate, and the regions, entities or currencies you covered. If you worked a specific queue, such as utilities, freight or travel and expense, name it, because it shows the depth you bring.

Should I mention 1099 work?

Yes, because year-end 1099 reporting is a real responsibility. Say how many vendors you reviewed, how you collected W-9 forms, whether you used the IRS TIN Matching program, and how many Forms 1099-NEC and 1099-MISC you filed. If you handled backup withholding or B-notices, add that too; it is less common and stands out.
