HR Generalist resume example

An HR generalist covers everything from onboarding to leave cases to the annual open enrollment, so your resume has to prove range without turning into a duty list. Give the headcount you supported, the number of sites or states, the HRIS you run daily, and one result per area: faster onboarding, cleaner I-9 audits, fewer grievances, smoother benefits renewals.

Common mistakes on an HR generalist resume

  • Writing a list of HR duties for every job

Fix: "Responsible for onboarding, benefits and employee relations" fits every generalist. Turn each area into one measured result: onboarding time cut from 9 days to 4, I-9 error rate brought to zero in an internal audit, benefits enrollment closed with 98% participation. Keep it to the three or four areas that matter most for the posting.

  • Leaving out headcount and locations

Fix: Supporting 120 employees in one office is a different job from supporting 900 across four states. State the headcount, the number of sites and whether the workforce was hourly, salaried, union or remote. Those details tell a reader immediately whether your experience matches their scale.

  • Hiding the HRIS and payroll systems you run

Fix: Generalists spend much of the day in systems. Name them, such as Workday, ADP Workforce Now, UKG Pro or BambooHR, and say what you did in them: built onboarding workflows, ran reports, processed changes or audited data. Employers often hire for a specific system, so this detail can decide the interview.

  • Skipping compliance work because it feels routine

Fix: I-9 audits, EEO-1 filings, poster updates, handbook revisions and leave tracking are what keep an employer out of trouble. Give each a number and a result, such as correcting 140 I-9 forms before an audit. Routine compliance done well is one of the strongest signals of a reliable generalist.

What should an HR generalist resume include?

An HR generalist resume should open with a two or three line summary of your focus, then show each role as results rather than duties. Name the skills the posting asks for, such as Onboarding, Offboarding & Exit Interviews and Job Descriptions. Start bullets with verbs like Onboarded, Investigated and Administered, and give each one a number where you honestly have one. If you hold a credential such as SHRM Certified Professional (SHRM-CP), list it in its own section.

How to stand out as an HR generalist applicant

Tailor every application to the posting: the resume, the cover letter and the answers you prepare for the interview.

  • Weight each version toward the posting's biggest need

Generalist postings lean different ways: some stress employee relations, some benefits and leave, some recruiting or HRIS. Read which area comes first and gets the most lines, then put your matching results at the top of each role. Keep the other areas, but shorten them so the fit is obvious in a quick read. Tailor your HR generalist resume

  • Use the cover letter to show judgment

HR leaders hire generalists they can trust with sensitive situations. In your letter, describe one anonymized case, such as a leave request that needed an accommodation or a team conflict you settled, and what you learned from it. Then name the systems and workforce type you know that match their company. Write an HR generalist cover letter

  • Prepare for scenario questions on policy and law

Expect questions like "An employee reports harassment by their manager. What do you do first?" or "How would you handle an FMLA request from someone with poor attendance?" Answer with the steps, the documentation and when you would involve counsel or leadership. Practice keeping each answer to two minutes. Practice HR interview scenarios

  • Show how a generalist differs from a manager role

If you are deciding between generalist and manager postings, compare your resume with the HR manager example. Generalist resumes prove hands-on case work and process ownership; manager resumes prove strategy, budget and team leadership. Apply where your bullets already fit, and add scope only where you truly owned it. See the HR manager resume example

HR Generalist resume questions

SHRM-CP or PHR: which one should a generalist get?

Both are respected and both fit generalist work. SHRM-CP, from the Society for Human Resource Management, leans toward competencies and situational judgment. PHR, from HRCI, leans toward technical knowledge and US employment law. Look at postings in your area and see which one appears more often, then list the one you hold with the year earned and keep it current through recertification credits.

How do I show I can handle employee relations without sharing confidential details?

Describe volume, type and outcome, never people. "Investigated 22 complaints a year covering attendance, harassment and policy conflicts, closing each within 15 business days with documented findings" proves the skill without identifying anyone. You can also mention coaching managers through performance plans or partnering with employment counsel on higher-risk cases.

My role was half HR and half office management. How do I present it?

Split the bullets by function and put the HR work first. Hiring managers for generalist roles want onboarding, benefits, compliance and employee relations. Office tasks such as vendor management or facilities can stay in one short bullet. If your title was something like office manager, you can add "(HR and operations)" so a recruiter sees the HR scope at a glance.

How do I move from HR assistant or coordinator to generalist?

Show the tasks you already own rather than the ones you support. If you ran new-hire paperwork, processed leaves, answered benefits questions or kept the HRIS clean, write each as a result with a number. Add the aPHR or SHRM-CP if you can, and mention any investigation or policy work a manager let you handle, even on a small scale.

Should I list the employment laws I work with?

Yes, but tie each one to a task. A skills line reading "FMLA, ADA, FLSA, Title VII" is easy to copy. A bullet saying you managed 60 FMLA and ADA accommodation cases a year, or reclassified roles after an FLSA exempt-status review, proves you can apply them. State and local rules vary, so name the states you have supported.
